Bowline CC - BMC Affiliation - please read

E-mail sent by Zoe Pickering, Thursday, 1st November 2018 @ 7:13am

Hello all

Introduction
At the Bowline AGM in March 2018 there was a lengthy discussion, details of which can be found in the AGM minutes, which resulted in a motion being proposed to review the clubs affiliation to The BMC (British Mountaineering Council). As the club is not constitutionally required to affiliate to the BMC it is not unreasonable to review this from time to time.

The committee were tasked with creating a 'terms of reference' setting out way in which the review would be conducted. This terms of reference was approved by the committee at the April committee meeting. However it was agreed to delay any further action on the matter until after The BMC AGM so that better clarity could be obtained on the organisation's possible future direction, and to allow engagement with The BMC at a time when the matter could be considered properly.

For more details please see the 'terms of reference' document which is available in the members area of the club website and also attached to this email.

What progress has been made so far?
After the BMC AGM we began the process of engaging with The BMC via the clubs committee and the area meetings. Both routes have progressed well with the clubs committee recently discussing the matter and agreeing that The BMC should produce materials to assist clubs like ours with understanding the benefits of affiliation, both for the club as an organisation and for club members. This includes updated website materials and a video.

The BMC Midlands area meeting also discussed, at our request, assistance from the BMC with reviewing our affiliation. The matter was voted to be sent to the BMC National Council, who duly discussed the matter at the recent council meeting. During the discussion it was noted that other clubs are reviewing their affiliation and that the BMC should do more to support clubs via information about the benefits of affiliation. Again the website is to be updated and a video produced. In addition the CEO of the BMC, Dave Turnbull, has offered to come to a meeting with the club to discuss our affiliation with club members.

In addition to support for clubs with affiliation reviews the subject of tiered membership was included in the discussions as it was part of the background to our affiliation review. The BMC is already looking into the possibility of different membership tiers as part of the implementation of the Organisational Review Report recommendations. It was noted that this proposal has been discussed before, however it was noted that this issue has been raised by several clubs recently and it was agreed that it should be considered further. There are possible options for the club to implement this without needing the BMC to change its membership schemes.

What happens next?
The terms of reference have a number of objectives to fulfil in order to get to the point where a proposal can be made for club members to vote on at our AGM in March. Some of these have already been achieved as noted above. Others are in progress such as assessing possible alternative providers for some of the services the club currently receives via the BMC to better understand the impact on the club if we had to obtain these services ourselves (e.g. insurance), reviewing the clubs future direction and how that aligns with the BMC and approaching club members for their views on our affiliation to the BMC.

Engaging with the club members is a key part of the affiliation review and now that we are nearing the point where we can start to draft some proposals we'd like to get some input from club members via the attached survey. We have chosen to use the survey format to enable you to respond anonymously if you so choose.

Please note that it is the affiliation of the Bowline Climbing Club to the BMC that we are requesting input on not the BMC itself, except, of course, in so far as it is necessary to clarify any comments you wish to make.

A rough timeline for the remainder of the affiliation review looks like this:
October - Survey club members for their input on the clubs affiliation to the BMC.
November - Committee review club member input and updated information from the BMC and investigations into alternative service providers.
December - Draft proposal(s) created and refined.
January - Draft proposal(s) circulated to members and a forum held for all club members to attend to discuss the proposal(s) with the committee and Dave Turnbull (CEO of the BMC).
February - Proposal refined following club member feedback and submitted as a formal motion to be voted upon at the club AGM.
March - club AGM and vote on the final proposal.
It is important to understand that at this stage we are gathering input from the membership to inform the process,  you will be able to ask further questions and give further comment at the forum meeting and to vote on the final proposals at the 2019 AGM.

You can access the survey here.

Thank you in advance for your response.

Best regards
Zoe Pickering - Chair

Announcements:

Work has now started on the improvements to the club hut. A small team went up at the end of September and stripped out the fittings and fixtures most of which fitted into the new shed. This is starting to pay for itself in what we've saved in storage and transport hire. The work should take approximately four weeks after which it will need decorating before new flooring is fitted. Another weekend will be required to put back the fixtures and fittings. So hopefully by the end of November we should be up and running.

So we need volunteers for the decorating weekend and the moving back in weeks. As with all builders the finish date is fluid so when I have the dates I'll let you know. A big thank you to Tom Parker, Andy Railton, Stepan Ptacek and Mick Brady who worked so hard over the preparation weekend.

E-mail sent by Andrew Potter, Thursday, 13th September 2018 @ 9:10pm

Hi Bowliners,

As you know from my email last month we will have a weekly email which will come out on a Wednesday. The purpose of this email will be a brief "What's on" communication of things coming up in the next week which might be of interest. This will of course include club meets, but also we want to encourage club members to share any other events or gatherings that club members could join in with (e.g. a sport climbing day in the Peak, an evening cycle ride, running on Bradgate park, etc).

Each week the deadline for submitting your offers to the Meets Secretary will be Tuesday evening ready for inclusion in the email on Wednesday (we will also post the details on our Facebook page).

The first of these emails will come out next Wednesday so we need you to send us things to include!

Looking forward to lots of input,
